Create your organisation
Sign up, name your organisation, and upload your logo in Settings.

Add your first members
Go to People Directory → Members Directory and add members manually or via invite link.

Mark your first attendance
Create an event, then use Attendance Manager → Record Attendance to start tracking.

People Directory

Manage all your members, invitees, and archived records in one place.

Add Members
Go to People Directory → Members Directory and click Add Member. Fill in name, email, phone, DOB, category, and group.
Invite Links
Share a self-registration link. New sign-ups appear under New Invitees where you can review and Promote them to full members.
Archive Members
Archive inactive members to keep your directory clean. Archived members can be restored at any time from Archived Members.
Outreach
Track first-time visitors and outreach contacts separately from full members, with their own pipeline and status tracking.

Attendance Manager

Record and track who attends each event with full audit logs and reports.

Record Attendance
Select an event, search or scroll through the member list, and tick each person present. Supports bulk mark-all-present.
Audit Log
Every attendance record is timestamped and attributed to the worker who recorded it. View full history under Attendance Audit Log.
Worker Allocation
Assign members to specific workers (shepherds). Each worker only sees and records attendance for their allocated group.
Trend Reports
View monthly attendance trends, event-by-event breakdowns, and absenteeism patterns in Analytics & Reports.
Tip: Create your events first, then open Attendance Manager. Attendance is always linked to a specific event for accurate reporting.

Events

Create and manage one-time or recurring events, track registrations, and view them on a calendar.

Create Events
Go to Events → Event Manager → New Event. Set the title, date/time, location, category, and capacity.
Calendar View
All events appear on the interactive calendar. Filter by birthday, anniversary, or event type to keep an overview of upcoming commitments.
Registrations
Members can register for events via the member portal. Track registration counts per event in real time.
Categories
Organise events with custom categories (e.g. Sunday Service, Outreach, Training) for filtered reporting and calendar views.

Follow-Ups & Visitations

Schedule, assign, and track member follow-up visits and escalate issues to leadership.

Admins create follow-up requests under Follow-Ups → Schedule Follow-Ups and assign them to specific workers.
Incident Reports
Workers or admins can raise incident/escalation flags. Admins review and resolve them under Incident Reports.
Shepherd (Worker) Portal
Workers log in and see only their allocated members, attendance duties, and follow-up assignments in their dedicated portal.
Completion Reports
Track how many visits are pending, in-progress, or completed. Exportable report for leadership review.

Groups & Workflows

Organise members into groups, manage assets, assign tasks, and build custom forms.

Groups
Create sub-groups (departments, cells, teams). Assign members and workers to groups for targeted attendance and communication.
Task Manager
Create tasks, assign to individuals, set deadlines, and track completion. Pending tasks surface as dashboard notifications.
Assets
Track physical assets (equipment, vehicles, rooms). Log check-out/check-in history and assign assets to members or groups.
Forms
Build custom data-collection forms with multiple field types. View submissions in a dashboard with trend charts and period comparison tables.

Payment Gateways
Connect Stripe, PayPal, or Paystack in Admin → Giving → Connect Payment. All three can run simultaneously.
Giving Records
Every donation is logged with amount, date, member, and payment method. Filter by period or member in the Giving admin panel.
Member Giving Portal
Members can donate directly from their portal using any active gateway. No separate app required.
Giving Reports
Summarised giving by period, top donors, and payment method breakdown — all available in Analytics & Reports.
Security: CongreSoft never stores card details. All payment processing happens directly on the connected gateway (Stripe/PayPal/Paystack).

Learning Management System (LMS)

Create courses, assign them to members or workers, track quiz scores, and issue certificates of completion.

Manage Courses
Admins build courses with lessons and multiple-choice quizzes under Learning → Manage Courses. Set pass rates and certificate expiry.
Enrolments
Enrol individuals or entire groups in courses. Learners receive an in-app notification and see the course under My Courses.
Certificates
On passing the quiz, learners can print/save a branded completion certificate showing score, date, and organisation logo.
Progress Tracking
Admins see enrolment status, attempt history, and pass/fail results for all learners in a single view.

Custom Forms

Build data-collection forms, share them publicly or internally, and analyse results with a built-in analytics dashboard.

Form Builder
Drag-and-drop fields: text, number, dropdown, radio, checkbox, date. Set required fields and custom labels.
Analytics Dashboard
Each form has a configurable analytics dashboard. Add widgets for numeric fields, view trend bar charts, and compare periods in a table.
Submissions Table
View, filter, sort, and export all form submissions. Each submission is timestamped and attributed to the submitter.
Public Sharing
Generate a shareable link for any form so non-members can submit responses without logging in.

Monthly Attendance Report
See total attendance per event per month, absentees, and first-time visitors. Filter by group or category.
PDF Export
Export attendance, member lists, and giving reports as PDFs branded with your organisation logo.
Insights Dashboard
The main dashboard shows live KPI cards: total members, recent attendance, upcoming events, pending tasks, and giving totals.
Custom Filters

Organisation Settings
Update your organisation name, logo, brand colour, address, and contact details. Changes reflect immediately across the platform.
Roles & Access
Four roles: Admin (full access), SuperAdmin (enterprise), Worker (limited ops), Member (self-service portal).
Multi-Branch (Enterprise)
SuperAdmins can manage multiple branch organisations from a single account. Switch between branches using the sidebar switcher.
Activity Logs
A full audit trail of every action taken by every user in your organisation — who did what and when.

Frequently Asked Questions

Quick answers to common questions about using CongreSoft.

Complete the 6-step workspace setup shown on your dashboard: add your first member, create a group, create an event, mark attendance, add a team member, and complete your organisation profile.

Go to Settings → Manage Roles & Access and click "Add User". Enter their email, assign a role, and they will receive an invitation email.

Click the logo in the top-left of the sidebar. A modal will appear where you can upload a new logo (PNG, JPG, WEBP, SVG, max 4 MB).

You can add them manually (People Directory → Add Member) or share an invite link. People who register via the link appear under "New Invitees" and must be promoted to become full members.

Yes. When you create a user account for someone with the "Member" role, they get a login that shows the Member Portal with their profile, events, giving history, and assigned courses.

Open the member profile and click Archive. All attendance records, giving history, and notes are preserved. You can restore them from People Directory → Archived Members at any time.

Yes. Attendance is always linked to an event. Go to Events → Create Event first, then open Attendance Manager and select that event.

Yes. Each worker records attendance for their allocated members. Records are merged under the same event in the admin view.

Use Analytics & Reports → Monthly Attendance Report and filter by event. Members not in the list are absent. You can then trigger a follow-up directly from there.

Yes. When creating an event, enable the "Recurring" option and choose the frequency (weekly, bi-weekly, monthly). Each occurrence appears as a separate entry on the calendar.

Member birthdays and wedding anniversaries stored in profiles automatically appear on the Calendar when you select the "Birthdays" or "Anniversaries" filter.

A follow-up is a planned visit or check-in assigned to a worker for a specific member. Admins schedule them; workers log the outcome (Completed, Pending, or Escalated).

Workers can flag a concern about a member (health issue, conflict, etc.) as an incident. Admins review and resolve incidents under Follow-Ups → Incident Reports.

Stripe, PayPal, and Paystack. You can connect all three simultaneously. Members choose their preferred method at checkout.

CongreSoft does not charge additional transaction fees. You pay only the standard rates set by your chosen gateway (Stripe/PayPal/Paystack).

Yes — you can scan the giving QR code and give without being logged in as a member.

Any user with a Member or Worker role can be enrolled in courses. Admins and SuperAdmins can also enrol themselves via My Courses.

Their enrolment status changes to "Completed" and they can download a branded Certificate of Completion showing their name, score, course title, date, and organisation logo.

Yes. When creating a course, set "Certificate valid for X months". After that period the certificate shows as expired on the certificate page.

The free trial is 15 days. You receive a sequence of onboarding emails during the trial. At day 15 you will receive a post-trial summary and an upgrade prompt.

Access is restricted to a read-only mode. Upgrade to a paid plan at any time under Billing & Support → Subscription & Billing to restore full access.

Yes. Go to Billing & Support → Subscription & Billing and select a new plan. Upgrades take effect immediately; downgrades apply at the next billing cycle.

Yes. For security, you are automatically logged out after 10 minutes of inactivity. Any unsaved work will be lost, so save frequently.

CongreSoft performs automated daily backups. Contact support if you need to restore data from a specific point in time.

Yes. Member lists, attendance records, giving reports, and form submissions can each be exported as CSV or PDF from their respective pages.
